Bookkeeper (Outsourcing)

REPORTING TO: Finance Partner 

ROLE SUMMARY:                           

We are on the lookout for a bookkeeper to work within our new Outsource Finance team based in the Norwich office. The Outsource team provides an in-house finance service for our clients. We use cloud based software to manage day-to-day tasks and provide our clients with the financial information needed to help grow their businesses.
Ideally you will be on the way to gaining your AAT qualification and / or have had several years of bookkeeping experience.

ABOUT THE TEAM

Outsourcing is a fast-growing department within Farnell Clarke. We are a small friendly team which
works together and with the latest cloud technology to service our clients’ financial requirements
efficiently. Each member of the outsource team has designated clients, and with this comes frequent
communication, swiftly ensuring we build strong relationships and are valued members of our
client’s team, freeing up their time so they are able to focus on their business.
Bookkeeping is the bedrock of everything we do. Utilising apps we can accurately and efficiently post
and reconcile transactions, with the added bonus of reducing laborious data entry. We are always
researching the market for tools which will enhance accounting processes, constantly trying to
improve. The accuracy of the information we provide monthly; management accounts & cashflow
forecasts is wholly reliant on the bookkeeping and is hugely appreciated by our clients.
Management information, produced in a timely manner, ensure business decisions can be made and
clients can be reactive.
We are very much focused on each member of the outsource team, encouraging and supporting
CPD and career progression.

KEY RESPONSIBILITIES

Business Services

  • Undertake bank reconciliations
  • Raise sales invoices as per clients’ instructions
  • Process supplier invoices and allocating payments
  • Checking purchase orders against invoices
  • Reconcile supplier statements
  • Collate and process expenses
  • Post monthly payroll journals
  • Ability to prioritise and work to deadlines
  • Provide support to clients via telephone, email etc
  • Prepare responses to supplier and clients queries
  • Credit control on behalf of clients – sending the initial email or making the first phone call to customers
  • Ensure accurate statements are sent to customers

Administration

  • Liaise with clients in a professional manner
  • Manage our client’s accounts@ in-boxes, answering queries where necessary and escalate to associate as appropriate
  • Ensure electronic and physical client files are complete and maintained fully
  • Answering the telephone for the outsource team
  • Complete internal checks to ensure consistent and accurate work

Business Development

  • Build positive relationships with clients in day-to-day work
  • Promote the services of the business to clients and potential clients
  • Understand the value of time and apply to tasks undertaken

Team

  • Communicate confidently with others in the team
  • Work collaboratively with colleagues in order to meet the objectives of the business
  • Perform routine tasks independently
  • Contribute to team meetings and put forward ideas and feedback in order to improve ways of working

Competencies & Behaviours

  • Undertake any other tasks that may be reasonably requested
  • Knowledge of Xero and/or Dext would be an advantage, a passion for cloud software is essential
  • Acknowledge and learns from mistakes
  • Prioritises clients’ issues and addresses them accordingly
  • Responds to and anticipates client needs in a timely, professional, helpful and courteous manner
  • Is able to seek out support to make decisions
  • Maintains continuous, open and consistent communication with others
  • Understands risks to the firm and clients with regards to GDPR, AML and data protection
  • Recognises value of time and able to identify need to additional resource and request with
    line manager
